Inbound inventory and purchase order planning
Count what is already on the way before ordering again.
Open purchase orders can prevent a stockout or create an overstock problem. The useful question is not simply whether a PO exists, but when it becomes available and how much demand remains by then.
Inbound is part of inventory
An open PO should influence the next reorder before it reaches the warehouse.
Planning only from on-hand stock makes an arriving shipment invisible until receiving. That can prompt a duplicate order, especially when supplier lead times are long or multiple teams place POs.
For each incoming line, capture SKU, confirmed quantity, expected arrival, receiving time and confidence in the date. Combine this with on-hand stock and expected sales to understand coverage at each point in time.
PO review checklist
Review the decision before the order becomes hard to change.
Timing
Will it arrive before coverage runs out? If not, investigate a temporary allocation, transfer or expedited option rather than assuming the PO solves the risk.
Age and exposure
For shelf-life products, can the post-arrival quantity sell through in time? A late delivery can change both the stockout and expiry picture.
A clearer decision surface
Separate the PO status from the inventory decision.
ORDER
Raise or expedite a PO when total expected coverage will not meet demand through a realistic replenishment date.
HOLD
Pause a new purchase when current and confirmed inbound stock already cover the period. Use the pause to validate the ETA rather than placing a second order.
CLEAR
Investigate sell-through action when inbound quantity creates more stock than the SKU can move, particularly where remaining shelf life is limited.
